Our approach
The lack of a CRM, a lack of a follow-up system, manual response to messages, and disorganized customer communication resulted in lost leads and difficulty scaling sales. We first conducted an audit of the entire customer acquisition and service process , analyzing traffic sources, contact methods, tools used, and any existing roadblocks.
We then implemented a CRM and designed an automated system for personalized SMS and email notifications based on sales funnel statuses. Simultaneously, we streamlined marketing activities—from post and ad scheduling to Meta Ads, complemented by an audit of existing campaigns.
The next step was to automate communication in direct channels: we prepared an automatic email inbox management system and implemented a chatbot on the community's WhatsApp group , which seamlessly imitated one of the team members, allowing the company to handle inquiries 24/7 without involving employees.
The combination of integration, automation, and streamlining processes allowed the owner to fully control her sales funnel for the first time, eliminating manual tasks, lost messages, and unnecessary delays.

Audit of the entire customer acquisition funnel
To kick things off, we conducted a detailed audit of where customers were coming from, how they were communicating, and where lead potential was being wasted. We mapped traffic sources, the inquiry process, the contact method, and the tools used, making it clear which elements needed immediate attention.

CRM implementation
We then implemented a CRM and designed an automated system of personalized notifications based on the status of the sales funnel. Clients received timely, personalized text messages and emails tailored to their stage of engagement, and the owner could see in one place who was a new lead, who was waiting for an offer, and who was ready to close.

Email and WhatsApp automation
The next step was to automate direct communication: we built an automated email inbox management system and deployed a "chatbot" (a bot that looks like a regular user) in the community's WhatsApp group. Emails were categorized according to appropriate response templates and assigned statuses in the CRM, allowing us to handle inquiries 24/7 without adding staff.

Marketing and sales alignment
At the same time, we streamlined our marketing efforts - post scheduling, Meta Ads, Google Ads, Tiktok Ads, and automated email campaigns. All these channels were linked to the CRM, ensuring that each new lead was immediately delivered to the appropriate funnel stage, and campaign results were measured in terms of actual enquiries and sales, not just clicks.
